Delete or Expire Content

Whether you can delete or expire a content item depends on its published status and the type of Salesforce organization you are using.

  • Unpublished versions of content items can be deleted from OrchestraCMS.
  • Published versions of content items can be deleted in sandbox or development organizations, but they can only be expired in production organizations.
  • Expiring a published content item removes it from your live site but not from OrchestraCMS.

Delete a content item

You can only delete unpublished versions of content items in a Salesforce production organization.

For example:

  • If you have two versions of a piece of content – version 1.0 that is published and version 2.0 that is unpublished – you can only delete version 2.0.
  • If there is only one version of a piece of content and it is unpublished, deleting it completely removes it from OrchestraCMS.
  • If you are working in a Salesforce sandbox or development organization, you can delete the most recent published version or revision.
    •  Previous versions and revisions remain unless you continue to delete each version individually in reverse chronological order.  

To delete a content item

  1. Select the check box beside a content item (or check boxes, for multiple items); or open it in the content editor.
  2. In the Actions panel, click Delete.
  3. When the delete confirmation message displays, click Delete (if using the Actions panel) or Yes (if using the Content Editor).

Expire a content item

If you have “Publish” permission, you can expire a published content item to remove it from your live site. Content items expire automatically on the end date set in the content properties, or you can manually expire a content item at any time. The expiry function prevents you from having to create a new version of a published content item to change the end date in the properties.

 

In addition to publish permission, if an approval process is enabled for your site, your system administrator will need to override this option on your profile by selecting “Allow users with this profile to publish independently of the approval process” so you can expire content.

To expire one or more published content items

  1. From the Content section, select the check box beside a published content item (or check boxes, for multiple items).
  2. In the Actions panel, click Expire.
  3. In the Expire Content dialog, under “The following items will be expired”, click Expire. The items will be expired immediately.

To expire a published content item now or at a future date

  1. Open the content in the content editor.
  2. In the Actions panel, click Expire.
  3. In the Expire Content dialog, select whether you want to expire the content item now or at a future date in the Expiry Date box. If you choose to expire the content item at a date in the future, select the date and time you want the content item to expire.
  4. Click Expire.
