Send your content for approval

Setting up an approval process requires configuration in Salesforce and in OrchestraCMS.

Users who are restricted from publishing due to an approval process can send their pages and content for approval. An approval process can restrict users from publishing content items and pages in OrchestraCMS even if their OrchestraCMS profile has publishing permissions.

When a page or content item is sent for approval, it is locked for editing except by the approver if he or she has edit and publish permissions.

 

Content items that have been sent for approval, whether individually or as part of a page, can’t be added to other pages while the approval process is ongoing.

The only exception is this: if the content item was sent for approval as part of a page, the approver can add the content item to that page if he or she has edit and publish permissions.

Send a page for approval

Pages can be sent for approval from the page editor or from the Pages section. When you send a page for approval, any unpublished content is sent for approval with it.

To send a page for approval

  1. Do one of the following:
    • Open an unpublished page in the page editor.
    •  In the Actions panel, click Send for Approval.
  2. In the Send for Approval dialog, you can optionally do the following:
    • Change the priority of the approval. The options for priority are normal, low, and high. Normal is the default option.
    • Add comments that the approver can see when they receive the approval request.
  3. Click Send.
 

A page can’t be sent for approval if it contains a content item that is either expired or involved in another active approval process.

Send content for approval

Content items can be sent for approval from the content editor. When a content item is sent for approval, a list of all the pages that the content item appears on is included to let the approver know where the content appears.

To send a content item for approval

  1. Open the content item in the content editor.
  2. In the Actions panel, select Send for Approval.
  3. In the Send for Approval dialog, you can optionally do the following:
    1. Change the priority of the approval. The options for priority are normal, low, and high. Normal is the default option.
    2. Add comments that the approver can see when they receive the approval request.
  4. Click Send.
 

Site maps can’t be sent for approval. You have to belong to a profile that has permissions to publish a site map, as well as permissions to publish outside the approval process.

The OrchestraCMS System Administrator should have permission to publish outside the approval process.
